The submission deadline was June 18. If you would like to submit a project, please contact Tammy Seldon at tammyseldon@giantscreencinema.com before completing the online form.

Distributors and producers are encouraged to submit as early as possible.

If distributors do not have specific information, i.e. if their project will be a film in production (FIP) or project in development (PID), or the length of the project, they are encouraged to at least submit the project’s title and a 50-word synopsis to be included in conference marketing materials. GSCA will allow any distributor that moves from FIP to PID the ability to do so without penalty and will refund the difference in submission fees up to July 16. Distributors and producers are encouraged to be as accurate and timely as possible with any updates. Any changes made after July 17 will be subject to the 50 percent refund policy.

Listed below are the Eligibility Policy and Procedures for submitting films to be screened at the GSCA 2010 International Conference and Trade Show. They are also available as a downloadable PDF: Film Eligibility Policy and Procedures

ELIGIBILITY POLICY AND PROCEDURES FOR NEW FILMS, FILMS IN PRODUCTION,  PROJECTS IN DEVELOPMENT, AND TRAILERS
 
1.  The GSCA Conference is open to films from anywhere in the world. The GSCA Conference is conducted in English; however, films in other languages are welcome.
 
2.  One form should be submitted for each project. The project’s producer, director, or distributor should complete the submission forms. Please note: All information must be completed. Incomplete forms will not be accepted. There must be a project name submitted with the submission form. A notation of “TBD” will not be accepted.
 
3.  Only current GSCA members may submit and present material for presentation. Effective this year GSCA requires that both distributors and producers are members of the association in order to show Films in Production 15/70, Films in Production Digital, and Projects in Development. This includes distributors as well as producers. At the time you submit this form, you must not have any delinquent accounts with the GSCA or any predecessor organization.
 
4.  To qualify, the project must be filmed or being prepared for exhibition on the giant screen as defined by the Giant Screen Cinema Association.
 
5.  Priority will be granted to projects that not have been screened at a previous Association session. The specific schedule for the Conference will be determined, in part, by any previous screenings at a GSCA event, the project’s release date, the date the submission form was completed, and technical specifics of the material.
 
6.  The exhibition format will be subject to venue availability.
 
7.  All presenters and attendees for the screenings must be registered for the Conference.
 
8.  Entrants automatically grant consent for their projects to be available for viewing by all delegates and to be featured in both pre-marketing materials and in the Conference program. If it is desired that the project not be included in pre-marketing materials, contact Kelly Germain at kellygermain@giantscreencinema.com.
 
9.  Entrants will automatically grant consent for their material to participate in any delegate evaluation process that may be included in the GSCA 2010 Conference. Any information collected will be made available to presenters privately for their own research purposes.
 
10.  GSCA reserves the right to reject any submission. GSCA also reserves the right to disqualify any submission believed to be in breach of any of the Policy and Procedures as outlined here. In addition, the GSCA reserves the right to reject any submission delivered past the delivery deadline or arriving in a condition that is not ready for assembly into the combined presentation.
 
11.  Please provide a 50 to 100-word synopsis of the project, as well as a .jpg of the title logo and poster (if available), which may be used on the website and in marketing materials. Ensure that the text provided is correct and in its final edited form or the text will be returned for correction. Poster, logo, and synopsis must be received no later than August 2 and e-mailed to kellygermain@giantscreencinema.com. A $150 USD administrative fee will be assessed for late, returned or text requiring changes.
 
12.  Entrants are responsible for the safe transportation and insurance of entries to the venue. Shipping details will be provided separately.
 
13. The organizers will take every reasonable precaution in handling entries but cannot be responsible for non-receipt, damage, or loss. Additionally, participation in the Conference is deemed to relieve GSCA of all liability in respect of claims by third parties.

14.  After the Conference, the submissions will be returned as soon as possible, but do not expect shipment earlier than two weeks after the completion of the Conference.

15.  The official method of submission is to electronically submit the online form. By submitting the form electronically, all parties agree to abide by the Policy and Procedures outlined above as required to present the film.
 
PRESENTATION REQUIREMENTS, FEES, AND REHEARSALS
 
New Films:
  • Films must have been completed after September 2009.
  • Ten minutes will be allotted to introduce the film. This time allotment will be strictly adhered to.
  • No trailers or previews may be attached to the film.
  • There is $1,500 fee to screen a new film.
  • Prints should arrive assembled on shipping platters.
  • A DTAC soundtrack must be provided with the film.
  • Should the New Film submitted not be available for presentation at the GSCA Conference (or Dome Day in Birmingham), 50 percent of the original screening fee will be refunded to the submitting party.
  • A separate print will be required for any new film to be shown at Dome Day.
  • There will be no new film rehearsals unless a rehearsal is specifically requested. 
  • Tickets will be sold to the public for screenings of new films during Dome Day.
Films in Production 15/70:
  • Films in production are 15-perf/70mm clips of films that are in production.
  • Film in production submissions must include at least 30 percent new footage every 24 months to be screened at a GSCA event. At the time of submission, it is the statement of the distributor on his/her honor that the 15-perf/70mm film clip being presented meets this minimum requirement.
  • Soundtrack must be provided as 35mm mag if sound is required.
  • Screening fees for films in production are: 5 minutes = $250 and 10 minutes = $500. Presenter may decide how much of the segment will be devoted to showing a film clip and how much will be used for speaking. The online submission form will include a field to indicate how many minutes will be devoted to the film clip.
  • Should the Films in Production project submitted not be available for presentation at the GSCA Conference, 50 percent of the original screening fee will be refunded to the submitting party.
  • Distributors/presenters will be notified of the rehearsal date. It is strongly suggested that the opportunity be taken to preview the Films in Production prior to the screening for all delegates and to become familiar with the venue and the structure of the session.
  • Films in production clips will also be screened at the McWane Science Center in Birmingham, Alabama, during Dome Day.
Films in Production Digital Clip:
  • Digital films in production are digital clips of films that are in production and are intended to be distributed as 15/70 films.
  • Digital film in production submissions must include at least 30 percent new footage every 24 months to be screened at a GSCA event. At the time of submission, it is the statement of the distributor on his/her honor that the film clip being presented meets this minimum requirement.
  • The soundtrack must be delivered with the film if sound is required.
  • Screening fees for films in production digital clips are: 5 minutes = $250; 10 minutes = $500; 
  • Should the digital films in production project submitted not be available for presentation at the GSCA International Conference and Trade Show in Chattanooga, 50 percent of the original screening fee will be refunded to the submitting party.
  • Distributors/presenters will be notified of the rehearsal date. It is strongly suggested that the opportunity be taken to preview the digital films in production prior to the screening for all delegates and to become familiar with the venue and the structure of the session.
  • This session is subject to cancellation should a minimum amount of submissions not be met. The GSCA will refund the submission fee should the session be cancelled.
  • Technical specifications:
    - The theater has 7.1 DCS (8 Channel) Audio
    - They would expect a DCP (Digital Cinema Package) type of digital file for delivery to use our DoReMi server. - If we want to provide our own playback device, they can connect it via Dual HDSDI or DVI at a reduced color space.
    - The projectors are 2K Christies'
    - The normal Color Space LUT for DCI product is
    - Color Space - Unity RGB
    - Target Color - DC28 DCI XYZ
    - Gamma - 2.6
    - Data Format - 444 PAC 12 bit. These settings can be changed if needed. YUV is available.
    - Frame rate is 24
    - No sound or picture offset should be needed.
    - This can be 2D and 3D.
    - The native resolution is 2048 x 1080
    - The audio format is uncompressed PCM

Projects in Development:
  • Presenters will be allotted a total of two minutes for the Projects in Development presentation and any commentary they wish to make. This time allotment will be strictly adhered to. 
  • There is a $100 fee for each film in development presented at the Conference.
  • Should the Films in Development project submitted not be available for presentation at the Conference, 50 percent of the original screening fee will be refunded to the submitting party.
  • Films in Development should be presented in PowerPoint or DVD media format.
  • Distributors/presenters will be notified of the rehearsal date. It is strongly suggested that you take this opportunity to preview the Films in Development prior to the screening for all delegates and to become familiar with the venue and the structure of the session. 
Trailers:
  • Trailers are 15-perf/70mm trailers for New Films being presented at the GSCA Conference.
  • Soundtrack should be provided as 35mm mag if sound is required.
  • Distributors will receive 2 minutes speaking time.
  • Screening fees for trailers is $250.
  • The trailers will be combined with the Films In Production session and will also have the opportunity to be included in the GSCA Film Buyer’s Survey.
  • Should the trailer submitted not be available for presentation at the GSCA Conference, 50 percent of the original screening fee will be refunded to the submitting party.
  • Distributors/presenters will be notified of the rehearsal date. It is strongly suggested that the opportunity be taken to preview the trailer prior to the screening for all delegates and to become familiar with the venue and the structure of the session.
  • The reel with Films in Production and Trailers will be shown at the Conference as well as at Dome Day in Birmingham, Alabama.

Daily penalties will be assessed for films not received by the deadline. Only the GSCA Executive Committee may waiver fees. The GSCA staff will not have the authority to waive fees or accept projects after the final deadline. The late films charge per day on an ascending and cumulative scale is: 1st day $250; $250 2nd day; $450 3rd day; $450 4th day; $650 5th day; plus $250 more daily until the final closing date. The closing date is the date at which we will not accept a film or film project. Closing dates are as follows: New Films for the Tennessee Aquarium: Tuesday, September 14. New Films for Birmingham: Wednesday, September 22. Films in Production/Trailers: Wednesday, September 8. Projects in Development and Films in Production Digital: Wednesday, September 15.
